Context

Directorate General of Health Services is one of the agencies of the Ministry of Health & Family Welfare of Bangladesh. Under this agency the personalized files of all government doctors were being archived physically and managed manually. Every type of record of doctors are kept in these files, i.e. appointment letter, promotion, job fixation, selection grade, time scale, transfer etc. These documents withering and were getting difficult to manage with the increase in number of documents. DGHS took the initiative to digitally manage all the doctors’ files. DIVO Solutions Limited digitized these files and developed a web-based record management software to intergrade it with their Human Resource Information System (HRIS) under the contract with Activation for Technical Assistance for Implementation and maintenance of automated Human Resource Information System.

Our solution addressed the specific needs of DGHS and provided a secure, efficient system for managing doctor files.

Result

✅ Scanning of 28000 Doctors’ files.
✅ Scanned Approx. 4000000 (+-) pages.
✅ 10 metadata field indexing of scanned images Key from Image (KFI) technology
✅ Development of a web-based record management platform for quick search and retrieval of files.
✅ Development of Rest API for the integration with the HRIS Platform.
✅ Training of the relevant officers.
✅ Supplied Production Scale ADF scanner to digitize our onwards documents.
